Important HR Writing Skills You Should Master

The work of HR has transformed, and the requirements for a person in this role are now much greater than they were ten years ago

Among other things, the text has become an undoubtedly important tool in the work of any HR. How to write a text so that people read it? One does not always have to turn to copywriters and speech writing services. Today we will tell you about how HR can improve their writing skills in a company.

Employer's Brand

HR should develop the employer's brand. You have to talk about your company attractively! Job seekers should want to work with you by reading your posts on social media, blogs, and other platforms. Brag about your clients and talk about why it's cool to work with you. Write about what you're first in and why you're unique. It's like a first introduction. Present yourself to the job seeker in all your glory, so they want to come to you for an interview from the first lines.

No Frames and Templates

Write the vacancy in as simple and clear language as possible, without pathos and aristocratic, hackneyed templates. Write about how your company's employees spend their holidays together, about the manager with whom you are on a first-name basis, and who loves to hold small parties in the office on Fridays.

The same goes with writing pitches and reports. You can use sophisticated phrases and thrice-told stories, but you won't reach the desired results. Set your goals and be creative to achieve them.

The Important Must Be Brief

Recruiters have learned to write such sugary texts that it is unclear what one has to do in the workplace and what the company can give a future employee. Every job opening must necessarily contain answers to the questions: "What can we give?" and "What are we willing to take?" But do not prescribe the entire working day of the employee, all the tasks they will have to perform. You should certainly not write when you are looking for a top manager, that they need to have high computer skills. It seems like there's nothing to write. Write briefly about the important things so that the candidate immediately understands whether they can perform this function, and read on, falling in love with the vacancy.

Target Audience

Every recruiter should imagine a portrait of the candidate for the job. Each vacancy should have a message to a specific audience. Depending on the position, there should be values that resonate with candidates. Dive into the specifics of the profession and think about what might actually be critical to the employee you're looking for. And what values are you looking for in a candidate?

It works the same when you are writing a speech and emails to your employees. You have to review their values depending on the department and offer them everything they need without spare words.

Honesty

Be honest with the candidates at the stage of the vacancy. They will find out the truth anyway! If you are looking for a department head, and their first task will be to bring order to the department, where everything is chaotic, then write that the future employee will have to cope with a lot of work. There is no need to feed the job seeker with illusions and put on the rose-colored glasses, which the daily routine of work will shatter. Your sincerity will be appreciated! As a result, you will get candidates who love and know how to organize, structure and systematize, rather than those who want to come in the all-set-up environment. That way, you save your time and don't waste the time of others.

Learn to Say No

HR has to say no a lot. And it's essential to learn how to deliver bad news so that you stay on good terms with these people. If you have to write a rejection letter, always thank the applicant for their time and attention to the company, let them know that the position is closed and write them warm words that will make them want to come back for an interview if you have a new position. The same goes for internal dialogues with your colleagues when you need to tell them unpleasant news.

Tell a Story

When we write a text about an event, a planned activity, the results we have achieved, but say nothing about how it turned out, what difficulties we encountered, what emotions we experienced — the text resembles a report, and it is not attractive to the reader. If you have to write an essay in one day about the company's event, you should always identify the initial goal of this text and the target audience. Tell a story, add emotions, describe your own experiences, and use different genres of text. However, you need to know the measure and not overdo it.

Change the paradigm of thinking, go beyond your limitations, and formal style of presentation. People are usually afraid to show emotion, be misunderstood, show their imperfection. However, your subjective imperfect position provokes the greatest response from the audience, discussion, and comments.
