What is recruitment automation?

Recruitment automation uses software to carry out repeatable steps in a recruitment workflow. Examples include sending agreed updates, scheduling reminders, moving information between systems and prompting recruiters when a task needs attention.

Automation and AI are different

A workflow can follow simple rules without using AI. AI-enabled tools may interpret information or generate content, introducing additional questions about accuracy, oversight and how outputs affect candidates.

Where should a team start?

Choose a repetitive, well-understood task with a clear owner. Map the trigger, action and exception route. For example, an interview booking could trigger a confirmation and a reminder, with a recruiter alerted if the candidate requests a change.

Checks before switching it on

  • Is the underlying candidate and vacancy data accurate?
  • Who reviews messages and can stop the workflow?
  • How can a candidate reach a person?
  • What happens when records are incomplete or systems are unavailable?
  • Can the team see what happened and correct mistakes?

Measure outcomes

Track time saved alongside errors, candidate responses and recruiter adoption. Start with a limited pilot and review exceptions before expanding. Where automation influences assessment or selection, give additional attention to fairness, accessibility and the evidence behind decisions.
